Summary The Contract Administrator will coordinate and administer billings and subcontractor payables, along with the processing of contracts for assigned projects within the company. Administration will begin at project award and continue to the closeout of the assigned project(s). Essential Duties and Responsibilities: Review & prepare owner contracts for signatures Prepare, issue, and collect subcontractor contracts Create contact list in ProCore or Heavy Job Review and support project setup and termination in Heavy Job, Procore, Viewpoint, and Teams Subcontracts receive the scope of work from the PM, incorporate into a template for the project, and send off to the Subcontractors for execution. Track with weekly emails at a minimum until the Subcontract is received executed by the Subcontractor. Follow up with subcontracts to make sure they are signed and returned. Once countersigned, upload to ProCore or Heavy Job Upload Owner Contract and bid documents with specifications to ProCore (bid plans, addendums, special provisions, etc.) Prepares and request contract supporting documents (P&P bonds and insurance) Request notice of commencement around start of job File hard copy of contract when executed version is returned from owner Collection and review of the required compliance documentation for subcontractors initially and as required by the Contract (includes licensing, insurance, W-9's, lien releases, certified payrolls, supplier releases, etc.) Distribute Certified Payroll reports provided by Equix payroll department Request, collect and review sub-tier waivers Prepare invoice support packages, as requested (stored material invoices, cancelled checks, etc.) Participate in weekly meetings with project management team to review subcontractor contract and change order status and outstanding purchase order executions status Communicate with project personnel and external vendors for project-related questions and requests regarding payment and terms, etc. during the project execution Communicate with subcontractors about payments and answer questions with a professional manner Issue sub invites for billing Issue pay apps for signature and enter into accounting software for processing Enter in certificates of insurance and notice to contractors when received from subs Review and revise owner bills when needed Gather monthly accruals and submit to accounting Book travel for management when needed (hotel, flight, vehicle) Assist with scheduling meetings Communicate continuing education requirements for licenses Maintain prequals (GDOT, FDOT, Gwinnett County Water) Determines priorities, goals, and objectives of work functions that are assigned Develops, recommends, and coordinates the implementation of new procedures for the assigned function Other duties and special projects as assigned Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
